Position Overview:



Our client represents public school teachers and TAFE lecturers across Western Australia. It is one of the largest trade unions in WA with over 17,000 members, to whom it provides a wide range of both industrial and professional services and representation.



We are seeking a dedicated Receptionist to provide professional front desk support to their organisation. The ideal candidate will excel in greeting members, visitors, and guests with tact and professionalism, while ensuring efficient management of administrative tasks.



Key Function of the Receptionist role is:



To provide professional and friendly reception support for the organisation, including to receive and greet members, visitors, or guests of the Union and to answer and redirect telephone calls.



To work with the Office Manager to implement and support clerical process and procedures.



Key Responsibilities:



Serve as the first point of contact for all visitors and incoming calls to.
Welcome guests warmly, manage sign-in procedures, and issue security passes as needed.
Receive, log, and distribute incoming correspondence promptly and accurately.
Coordinate outbound mail and manage bookings for visitor parking and meeting rooms.
Maintain cleanliness and presentation of reception and meeting room areas.
Support office operations by assisting with clerical tasks and procedural improvements.
Function as first point of contact made through the front desk.
Greet visitors and ensure appropriate sign in procedures are met.
Accurate and timely receipt, registration, and distribution of inbound correspondence, including RecFind (Document Management) and archiving.
Coordination and tracking of outbound mail.
Take and deliver accurate and timely phone messages.
Coordinate bookings for visitor parking and meeting rooms.
Collate and report staff movements to management following HR and WHS processes.
Allocate and retrieve appropriate security passes for guests to the building.
Arrange for recycling / document bins to be emptied and replaced as required.
Work with fellow reception staff to manage stationery requirements.
Maintain First Aid supplies throughout the building in line with WHS standards and in house process.
Maintain high standard of cleanliness and presentation of the reception and meeting room areas Work with other reception staff to update and improve processes within the procedure manual.
Other ad hoc duties as requested as requested by the Office Manager or General Secretary.


Qualifications and Skills:



Proven experience in a receptionist or similar role, ideally within a professional office environment.
Strong interpersonal and communication skills with the ability to handle interactions with discretion and professionalism.
Organisational skills to manage multiple tasks effectively in a busy environment.
Proficiency in Microsoft Office Suite and familiarity with document management systems.
Commitment to maintaining confidentiality and adhering to workplace health and safety standards.
